  1. Budgeting Support:
  • Ensure proposal budgets include accurate and sufficient costs.
  • Provide assistance in budget forecasting for project teams.
  • Aid in budget revision or adjustment as necessary. Expected Results:
  • Submission of high-quality project budgets that are rational, complete, and comprehensive.
  • Elimination of overspending.
  1. Financial Reporting:
  • Support accounting, financial management, and reporting for the Chiradzulu WASH for Everyone project.
  • Review financial transactions with the program team and address agreed-upon action points.
  • Prepare draft donor financial reports and submit them to the Grant Finance Manager for review.
  • Conduct monthly analysis and reconciliation (General Ledger vs. Report and Funding vs. PBAS).
  • Monitor project support costs against approved provisions.
  • Submit revised reports to the Support Office and/or Donor before reporting deadlines. Expected Results:
  • Timely compliance with reporting deadlines for WVI and Donor requirements.
  • Submission of high-quality financial reports.
  • Reduction in incorrect postings.
  • Explanation of variances.
  • Support of financial transactions with appropriate documentation.
  1. Audit Coordination:
  • Provide necessary information to auditors as requested.
  • Ensure implementation of previous audit recommendations.
  • Follow up on all audit recommendations.
  • Maintain proper documentation in both soft and hard copies. Expected Results:
  • Reduction in the number of audit findings.
  • Implementation of audit recommendations.
  1. Procurement:
  • Update the project procurement plan.
  • Ensure proper creation of project requisitions, including correct use of t-codes, and timely review and approvals.
  • Collaborate with the Supply Chain to ensure timely receipt of goods and services and issue payments to suppliers.
  • Provide adequate documentation in ProVision to expedite processing by the Shared Service.
  • Screen suppliers in advance for WV and grant compliance requirements. Expected Results:
  • Improvement in the project burn rate.
  • Compliance with value-for-money requirements (good price, good quality, economy of scale, etc.).
  • Timely provision of project equipment and materials.
  • Timely payments to suppliers.
  1. People Management:
  • Follow up with project staff to ensure accurate recording of Level of Effort (LOE) in the Labor Distribution Report (LDR) based on budget provisions.
  • Monthly reconciliation of LDR data with the project’s payroll transactions. Expected Results:
  • Fair allocation of direct and support charges within the project.
  • Compliance with donor and audit requirements.
